Privacy Policy

This policy explains what personal and health information the Pelvic Institute collects, why we collect it, how it is protected, and the rights you have over it.

Who we are

The Pelvic Institute is an international pelvic nerve practice led by Dr Renaud Bollens, with centres in Dubai, Belgium and Sweden and remote consultations worldwide. Information we collect

  • Contact details — name, email address, phone or WhatsApp number and country, provided when you book, message or submit a form.
  • Health information — symptoms, medical history, imaging (such as MRI scans), previous treatments and any documents you choose to share with us. This is special-category data under the GDPR and is treated with additional care.
  • Booking and payment data — appointment times, consultation type and payment status. Card details are processed by our payment provider (Stripe) and are never stored on our systems.
  • Technical data — IP address, device and browser information, pages visited and referring source, collected through cookies and analytics.

Why we use your information (legal bases)

  • To provide care — assessing your case, preparing and delivering consultations, planning treatment and follow-up. Legal basis: your explicit consent and the provision of health care (GDPR Art. 6(1)(b) and Art. 9(2)(h)).
  • To manage appointments and payments — confirmations, reminders, invoices and receipts. Legal basis: performance of a contract and legal obligation.
  • To improve the site — anonymous and aggregated analytics. Legal basis: your consent through the cookie banner.
  • To request feedback — an optional post-consultation email inviting a public review. Legal basis: legitimate interest; you can opt out at any time.

Bookings, consultations and medical records

When you book, the information you provide is used only to prepare and deliver your consultation. Sharing prior imaging or medical records is optional — you can be seen without them. Video consultations are not recorded unless you ask for a recording and give written consent. Clinical notes are kept in line with the medical record-retention rules that apply in the country where you are treated.

Who we share information with

We never sell your data. We share it only where necessary: with the clinical team involved in your care, with partner clinics when you are referred (for example for physiotherapy or imaging), and with service providers who process data on our behalf under written agreements — including our booking, email, hosting, payment and analytics providers. We may also disclose data where required by law.

International transfers

Because we operate in the EU, the UAE and Asia, your data may be transferred outside the European Economic Area. Where that happens, we rely on adequacy decisions or Standard Contractual Clauses, together with technical safeguards such as encryption in transit and at rest.

How long we keep it

Enquiries that do not lead to treatment are deleted within 24 months. Clinical records are kept for the statutory retention period applicable to the treating centre (typically 10 years or longer). Accounting records are kept for the period required by tax law. Analytics data is retained in aggregated form only.

Cookies

We use essential cookies to make the site work and, with your consent, analytics and marketing cookies to understand how the site is used. You choose your preference in the cookie banner the first time you visit, and you can change it at any time by clearing your browser storage for this site and reloading the page.

Your rights

Under the GDPR and comparable laws you have the right to access your data, to have it corrected or erased, to restrict or object to processing, to data portability, and to withdraw consent at any time without affecting care already given. To exercise any of these rights, email Email us. We respond within 30 days. If you are in the EU and are not satisfied with our response, you may lodge a complaint with your national data protection authority.

Security

Access to patient information is limited to the people who need it for your care. Data is encrypted in transit and at rest, stored with reputable providers, and protected by access controls and authentication. Please do not send sensitive medical documents over unencrypted channels if you would prefer a secure alternative — ask us and we will arrange one.

We may update this policy as our services or legal obligations change. The date at the top of the page shows the latest revision.
